Job Title: Administrative Assistant to Financial Advisor
Location: Conroe, Texas (On-site)

Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support a Financial Advisor(s) in delivering exceptional service to clients. The ideal candidate will manage daily administrative operations, maintain client records, schedule appointments, and ensure smooth office workflows. This role is crucial in helping the Financial Advisor focus on strategic financial planning and client relationship management.

Key Responsibilities:
  • Client Support:
    • Serve as the first point of contact for clients via phone, email, and in-person.
    • Schedule client meetings and prepare necessary documentation.
    • Handle routine client requests such as account inquiries, paperwork, and follow-ups.
    • Proactively contact clients to offer service and support
  • Administrative Tasks:
    • Manage calendars, emails, and meeting logistics for the Financial Advisor.
    • Prepare, proofread, and file client correspondence and reports.
    • Maintain accurate and up-to-date client records and CRM data.
  • Document & Compliance Management:
    • Assist with the preparation and submission of account forms and applications.
    • Ensure all documentation is completed accurately and complies with regulatory requirements.
    • Monitor deadlines and follow up on pending paperwork or approvals.
  • Office Coordination:
    • Order office supplies and manage inventory.
    • Coordinate with vendors and service providers when needed.
    • Support marketing and event planning efforts (e.g., newsletters, webinars, client appreciation events).

 
Qualifications:
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 2+ years of administrative experience, preferably in financial services or a professional office environment.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and CRM systems (e.g., Redtail, Wealthbox).
  • Excellent written and verbal communication skills.
  • High attention to detail and organizational skills.
  • Ability to manage sensitive and confidential information.
  • FINRA Series 6, 7, or 63 licenses a plus (not required).
