Employment Type: Part-time
Salary: $16-$22 per hour

Job Summary:
We are seeking a highly organized and proactive Administrative Assistant with strong project management skills to join our team. The ideal candidate will be responsible for providing comprehensive administrative support while also managing and coordinating projects. This role requires someone who can efficiently handle daily administrative tasks, oversee project timelines, and ensure effective communication across departments.
Key Responsibilities:

  • Administrative Support:
    • Manage calendars, schedule meetings, and coordinate travel arrangements.
    • Prepare and edit documents, reports, and presentations.
    • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
    • Maintain office supplies inventory and order materials as needed.
    • Organize and maintain filing systems, both physical and digital.
  • Project Management:
    • Assist in planning, executing, and closing projects according to deadlines and within budget.
    • Coordinate with various departments to ensure project tasks are completed on time.
    • Monitor project progress and update relevant stakeholders on status and any changes.
    • Prepare project documentation, including project plans, timelines, and status reports.
    • Identify and mitigate project risks and issues.
    • Ensure effective communication among project team members and stakeholders.
  • Event Coordination:
    • Plan and coordinate company events, meetings, and conferences.
    • Manage logistics for events, including venue selection, catering, and audiovisual needs.
    • Oversee event budgets and ensure cost-effective solutions.
  • Communication and Coordination:
    • Serve as the point of contact between executives, employees, and external partners.
    • Facilitate communication within the team and across departments to ensure smooth operations.
    • Prepare and distribute internal communications, including newsletters, memos, and announcements.
Qualifications:
  • Education and Experience:
    • High School Diploma or equivalent required.
    • Bachelor’s degree in Business Administration, Management, or a related field preferred.
    • 1+ years of experience in an administrative role, with a focus on project management.
  • Skills and Competencies:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Ability to work independently and as part of a team.
    • Strong problem-solving skills and attention to detail.
    • Ability to handle confidential information with discretion.
